Terms & Conditions
This Catering Services Agreement (“Agreement”) is between Astro Coffee (“we,” “our,” or “Caterer”), located at16010 W 5th Ave, Golden, CO 80401, and the undersigned client (“you” or “Client”).
By submitting your deposit, you agree to the following terms and conditions:
1. What We Provide
Astro Coffee will deliver the agreed-upon catering services (“Services”) for your event (“Event”).
Services may include (but are not limited to):
Drinks: Espresso Drinks, Signature Espresso Drinks, Teas, Italian Sodas, Cosmic Energy Drinks, Milkshakes, Cocoas
Milk Options: Whole Milk, Half and Half, Chocolate Milk, Oat Milk
We may adjust menu offerings depending on which unit is booked and if certain ingredients become unavailable due to circumstances beyond our control.
2. Event Details & Modifications
Event details (date, time, location, guest count) will be based on your inquiry and our confirmed quote.
If you need to make changes, please notify us at least 7 days in advance. Major changes (e.g., guest count) may affect pricing.
3. Payments & Deposit
Deposit: A $100 non-refundable deposit is required to confirm your booking.
Final Payment: The remaining balance is due at the completion of the event.
Accepted Methods: Credit card, ACH, or check (payable to Astro Coffee).
Processing Fee: 3.5% will be added to all transactions
Your date is not secured until the deposit is received.
4. Setup, Access & Venue Requirements
We need 1 hour before and 1 hour after your event for setup and breakdown.
You’re responsible for any venue fees or permits required.
5. Power Requirements
Coffee Cart: Requires access to two standard 15-amp outlets (120V) for indoor service.
Coffee Van: No external power is required for events lasting 10 hours or less.
Coffee Trailers: No external power is required for events lasting 5 hours or less. For longer events, we can supply power via onboard generators or connect to shore power (30 or 50 amps), if available.
We’ll bring extension cords and power strips.
If proper power isn’t provided, we may be unable to serve, and no refunds will be issued.
6. Insurance
Astro Coffee carries general liability insurance for all services provided at your event.
7. Client Responsibility & Indemnity
You agree to cover any damage, loss, or theft of our equipment caused by you, your staff, or your guests.
8. Cancellations & Refunds
8.1 Deposit
The $100 deposit is non-refundable.
8.2 Additional Payments
30+ Days Before Event: Any additional payments (beyond the deposit) are fully refundable.
Within 7 Days of Event: No refunds for any payments made.
8.3 Credits
Payments may be credited toward a future event, based on our availability.
8.4 Special-Order Items
You’ll be responsible for the cost of any non-returnable custom items ordered for your event.
9. Rescheduling
Single-Day Events: Rescheduling is allowed with 7+ days notice. Less than 7 days notice may result in full charges.
Multi-Day Events: We require 14+ days’ notice to reschedule.
All rescheduling is subject to availability.
10. Force Majeure / Liability Limitations
If circumstances beyond our control (weather, venue issues, emergencies, etc.) prevent us from fulfilling your event, we’ll either:
Arrange a comparable replacement caterer with your approval, or
Refund any payments made (excluding special-order items).
We are not liable for additional damages or costs beyond that refund.
11. Legal Jurisdiction
This Agreement is governed by Colorado law. Any legal disputes will be handled in Colorado courts.
12. Entire Agreement
This document is the complete agreement between us. Any changes must be made in writing and signed by both parties.
13. No Waiver
If either party delays enforcing any part of this Agreement, it does not waive the right to enforce it later.
14. Agreement Confirmation
Your deposit confirms that you have read, understood, and agreed to these terms. We’ll consider your event officially booked upon receipt.
